The Bureau Works LLM can also be called Bureau Works Generative Language Engine and its stands as the cornerstone of our suite, providing unrivaled power and efficiency. By seamlessly combining Translation Memories, Machine Translations, and Glossaries into a unified, smart, and context-aware feed, it transforms the way you work, learn, and interact.
1.1 Where does its information come from?
Our team of machine learning engineers has successfully harnessed the power of large language models and advanced natural language processing techniques to create a unified feed that intelligently adapts to your preferences. This dynamic feed seamlessly incorporates your machine translation, translation memory, and glossary preferences in real-time during runtime operations. The result is an efficient and responsive system that caters precisely to your language processing needs.
Of course, apart from your TMs, glossaries and MT output, our platform LLM is powered by Chat GPT (Open-AI).
1.2 Data privacy
Bureau Works has SOC2 Type 2 certification, and we follow well-documented best practices to ensure data privacy, safety, and access controls. Client data may be stored in the system, like billing contacts or POs for projects, but it is up to you how you want to configure these features.
All data is encrypted at rest. All-access to Bureau Works is logged, and we enforce multi-factor authentication. Finally, we provide a fine-grained permission module that allows you to assign responsibilities in the form of user roles (RBAC) and even groups of individual permissions.

Specifically about the LLM integration, according to Open AI and Microsoft Azure your data will not be used for training purposes. It will be stored for 30 days with encryption at rest and then permanently deleted.

2. Activating or deactivating the LLM integration
2.1 Account level
In the lateral menu, you may click on Settings and My account. From the Account Settings tab, you will see the Enable LLM Translation/Review option.
2.2 Organizational Unit level
Within your Organizational Unit page, locate the LLM tab and toggle the Enable Augmented Translation Actions option.
Note: To activate this option, the Account linked with the Organizational Unit must have the LLM feature enabled.
2.3 User/editor level
In the editor, you have the option to enable or disable LLM-powered features according to your preferences. This functionality is particularly helpful when you want to use certain LLM features while opting out of others. You can tailor the LLM usage to suit your specific needs and make the most out of the tools available to you.
To manage our LLM features, navigate to the editor menu and click on the Document tab. From there, you can easily enable or disable the LLM functionalities according to your requirements.

Option four enables you to select the language for displaying Bureau Works Translation Smells feature. Source, target, and English languages are available choices.

3. How to use the LLM in the Bureau Works editor
3.1 Ask LLM to translate
When we ask the AI to translate, it will take into account the glossaries, TMs and MT's outputs. So it would be an translation based on your choices and preferences.
With this AI option enabled, you may simply click on an empty segment and the translation will be begin.
If the segment is already fullfilled, you may click on it and then on Ask AI to translate:
The platform will show the result right under the AI section. In order to apply the suggested translation, you simply need to click on Apply this translation.
To regenerate the translation, the 🔄️ icon can be used:
If there are any changes to your input, such as glossaries, translation memories (TMs), or machine translations (MT), after the initial generation, it's recommended to regenerate your translation. By doing so, you ensure that the AI is working with the most up-to-date data, allowing for more accurate and reliable results.
3.2 Translation Smells
Our Translation Smells refer to any symptom within a translation that could potentially suggest the presence of an underlying problem. They encompass a range of problems or recurring patterns that indicate a translation might not be suitable for its intended purpose or may be inaccurate or unclear.
Examples of translation smells may include: inconsistent terminology, awkward phrasing, or inaccurate translations of idiomatic expressions.
This warnings can indicate discrepancies or improvements, taking into account commonly used terms and expressions by the target language. Since it doesn't have access to glossaries and TMs, the final translation must always be done by the linguist. The linguists may even disregard those warnings.
Note: Translation Smells can show the presence of potential erros, but not ensure their absence.
4. Bureau Works AI-Powered Actions
The Bureau Works AI-Powered Actions feature can be accessed through a button located in the bottom right corner of your selected segment. Clicking on this button will open a dropdown menu with six different options to choose from. In the next sections, we will provide explanations for each of these options and how they work.
4.1 Translate
The Translate feature functions similarly to the automatic AI translation, utilizing a combination of technologies including Machine Translation, Translation Memories, and glossaries. To apply our AI translation, simply click on the Bureau Works AI-Powered Actions button and select the Translate option.
Subsequently, the segment will begin loading, and the AI translation will automatically populate the segment.
4.2 Alternative Suggestion
The Alternative Suggestion function acts as a cognitive agent, providing intelligent recommendations that go beyond standard translation, the system will solely consider the content within the source segment. Your glossaries, TMs and MTs outputs will not be taken into account.
It thoroughly examines the translated content, providing deep observations, explanations, and alternative recommendations. These recommendations are intended to increase the impact and precision of your information, assuring the greatest degree of quality and accuracy.
To access our alternative suggestion, simply click on the Bureau Works AI-Powered Actions button and select the Alternative Suggestion option.
Bureau Works will then open a window to show you its suggested translation and explanation:
4.3 Proofread
Proofread is a tool engineered to conduct a comprehensive examination of your segment. It carefully checks text for grammar, spelling, and punctuation mistakes. This helps ensure the text is error-free while keeping its overall meaning and structure intact. Basically, it makes sure there are no language mistakes in the content without changing its main meaning.
To access our proofread tool, simply click on the Bureau Works AI-Powered Actions button and select the Proofread option.
4.4 Check Smells
The Check Smells option functions similarly to our Translation Smells feature, but it's not automatic. This means you can choose when to analyze for translation issues instead of it happening automatically.
In order to check if anything in your translation doesn't look good, simply click on the Bureau Works AI-Powered Actions button and select the Check Smells option.
⚠️It is important to note that while this tool is comprehensive, it does not guarantee the absence of errors.
4.5 Fix Tags
Fix Tags is a smart tool that automatically corrects tags in translated text to match the original format. It boosts consistency and saves time by reducing the need for manual tag adjustments during content adaptation.
To get help with fixing your segment's tags, click on the Bureau Works AI-Powered Actions button and choose the Fix Tags option.

5. AI Translation Change Categorization
This tool will assist you when working on review tasks by automatically selecting one of our default translation change categories after you finish editing the segment. Additionally, it will provide a comment regarding the change you have made.
If your account is configured to have our AI integration, this process will occur automatically.
