1. Overview
By creating a project in Bureau Works, you will be able to, apart from working on the translation process, calculate the project's costs, insert expenses, or inform discounts.
Bureau Works includes a default price list that is automatically configured for all new users. Even if you do not want to spend the time customizing it, a standard cost will be estimated.
The standard price list for Bureau Works is calculated in US dollars and is set to charge $0.1 per word for all languages.
Users can construct their own Price Lists to boost the Bureau Works potential to work for them on all of this math.
Below we'll explain how to create your own price list and how to use it.
2. Creating a Price List
Price lists can be found under the Settings options.
If you intend to create your first price list, you'll notice that there will be no prices found. Although Bureau Works does provide a standard price list, as mentioned above, it does not appear in the user interface.
To create a new list, please click on the Add Prices button.
Fill in all the necessary information.

3. Price per language
After creating a price list, Bureau Works will allow you to specify some details, like a different value to be charged per language pair.
You can set a price for each language pair you intend to work with.
Here, we will take a moment to explain how Bureau Works will work if this setting is applied.
We will have a few different scenarios that have to be considered:
- If you only fill in the "default price per item" in the creation of the price list, leaving the price per language empty, Bureau Works will charge the amount informed in the default field for every single language pair, with no distinction;
- If you set one language pair, Bureau Works will use it to calculate the tasks for the specified pair.
- If you set at least one language pair but need to translate a task in a similar but not identical language pair, Bureau Works will look for the best attempt in the pairs listed and calculate the costs over that value.
Ex: I have specified the pair en-us > pt-br = $0,12, but I need to translate a file from en-us to pt-pt. Bureau Works will identify that I have a PT locale and calculate the job, taking that value into account. - If you set at least one language pair but need to translate a task into a language that isn't on the price list and doesn't have a sibling language defined, Bureau Works will assume the highest cost per language listed and compute this new language over the given amount.
Additionally, when prices are defined for language pairs, a price simulation based on the price coefficient will be displayed. This will be explained in further detail below.
4. Price coefficient
It is also possible to specify additional cost parameters to be used on your projects, like a rush fee or discounts.
A wide range of coefficients can be defined to be integrated into your project expenses. Each coefficient will have an array of fee types and calculation methods. They can be based on a fee, an hourly rate, or a word rate, among others. Some will be determined in percentages, while others will be based on a fixed rate.
Alongside the price coefficient, you can also set coefficients specifically for language pairs. This provides flexibility in defining costs for different scenarios within your projects.
5. Linking a Price List to an Organization and Organizational Unit
For your price list to be correctly applied, it must first be linked to an Organization, and then to their child Organizational Unit.
This can be done directly from the Price List tab:
You can inform as many Organizations and Organizational Units as needed.
It is also possible to associate price lists directly from the Organization page:
After adding a price list to an organization, it can be added to its ramified organizational units by going to the Organizational Unit page.
After adding the price list to the organizational unit, it is possible to define it as the default price list.

6. Applying Price Lists to your projects
The next step is to utilize your new price list to calculate the costs of your project. You can determine the pricing list in Step 2 of the project creation process to guide Bureau Works on which price your project should be based.
If you set the price list as the default in your organizational unit, this field should be automatically populated with the default list.
If you do not enter anything, this section will be left blank, and you will be able to manually select your new pricing list.
📑 Note: If this field is left empty and you don't provide any Price List later, at the moment of the draft approval, Bureau Works will calculate projects' costs based on the standard Price List.
If you wish to change the Price List used to calculate the project costs after the project has been created, you first need to make sure that the project has the draft status. You can revert it to draft manually, if needed.
