1. Account Settings
The account is the highest level of organizational hierarchy in Bureau Works. Each user can be associated with one account only. You can verify your account by going to Settings and then clicking on My Account.
You can learn more about the organizational hierarchy used by Bureau Works at Accounts, Organizations and Organizational Units.
Under the Account Settings, you can navigate through the following options:
1.1 Usage
In the Usage panel, you are able to manage your plan (1), update payment methods (2), cancel your account (3), enable quote automation (4), and check your raw processed volume (5).
For instance, Quote Automation is the feature that calculates your project's costs automatically based on the number of words and leverages the Translation Memory and Glossaries. This way, you and your clients can have more flexibility and granularity. You can learn more about quote automation here!
1.2 Business
The Business panel allows you to configure your own Price Lists, your Custom Review Category and your Custom Cancellation Options, along with your Terminology Board.
1.3 Finance
Here you can set which logfile will be used for quote calculations on your projects.
Pre-analysis is conducted prior to the translation process and serves as the foundation for project quotations. This step involves a review of the entire source material prior to translation. Because it can be compared with the post-analysis log, the pre-analysis logfile is a crucial metric for determining the amount of work needed for the translation project.
By using the pre-analysis log created prior to the translation as a guide, post-analysis assesses the amount of work put forth by the linguist or reviewer during the tasks.
1.4 Notifications
This tab allows you to configure your account notifications. By default, it will open in the Org. Units management screen, so you can validate which have active notifications. You can also select the Notifications Templates tab to customize your notifications.
By selecting the Notifications Templates tab, you must set which email will send the notifications to your vendors. Also, you can customize each different template that is available for you.
After selecting the desired template, the window will expand, allowing you to configure the text that will be sent along with the notification.
1.5 SSO
Single Sign-On (SSO) is a security authentication session that permits a user to use one set of credentials (e.g., name and password) to access multiple applications.
SSO allows you to access Bureau Works using a single set of credentials, simplifying your login process while maintaining strict security controls. You can learn more about how to configure SSO in your account here!
1.6 Webhooks
The Webhook is a feature that allows the user to set communication between Bureau Works and third-party systems. Users must set a secure URL (which will receive the requests from Bureau Works), a secret key for additional validation, and a message that will be sent for effective communication.
1.7 Custom Fields
Custom Fields are specially dedicated to providing metadata about the entities present on our system. We call an "entity" every Organization, Organizational Unit, Project, User, Price List etc. within our system.
You can use Custom Fields to add further information and categorize each unit of those entities. You can learn more about Custom Fields in the following article.
1.8 Hierarchy View
This screen allows the account owner to view the structure of Organizations and Org. Units in a hierarchical way.
2. Translation Settings
The Translation Settings section covers configurations about Machine Translation, Augmented Translation Actions leverage LLMs (Large Language Models), how to set your custom Workflows, set specific rules of Segmentation, and edit Net Rate Coefficients.
2.1 Machine Translate (MT)
Bureau Works comes with a standard and integrated Machine Translation provider. However, in the Machine Translation panel, you are able to set a specific MT provider of your preference.
If you wish to learn more about setting up a custom MT provider, check out this article!
2.2 Augmented Translation Actions/LLMs (Large Language Models)
The Augmented Translation Actions are a set of features that improve translation by analyzing context and semantics, suggesting alternatives for the same sentence, and much more. Currently we work with three providers: OpenAI and Microsoft Azure.
Please notice that this feature uses AI applications that will have access to your data, so you must manually accept the terms of use and consent to it's usage. We advise you to read it carefully!
In this panel, you can enable or disable the Augmented Translation Actions and choose if the learned terms will be sent to the Terminology Board.
You can also view which Org. Units have Augmented Translation Actions enabled.
If you want to learn how to further configure Bureau Works Augmented Translation Actions, this article might help you.
2.3 Workflows
The projects that you create with Bureau Works can have many different workflows. This configuration allows you to define presets for each file type, so you don't have to do it every time you upload a new file.
The following article covers the details about setting up your Custom Workflows.
2.4 Project Routing
Bureau Works also allows you to set up a Project Routing. In a Single Project, only one project is created for a single Org. Unit, where all the target languages are within this project. Now, Project Routing Configuration enables you to route these language pairs to each configured Org. Unit.
There's a lot more information about Project Routing here!
2.5 Segmentation
In Bureau Works, the files you upload to be translated are divided into segments. This process of Segmentation follows some rules that are set by default. However, you are able to set your own Segmentation Rules by uploading a .srx file.
You can find more information about Segmentation Rules here.
2.6 Edit Coefficients
When calculating the costs of a project, Bureau Works takes into account not only the word count but also what was leveraged by the Translation Memory (TM), by Machine Translation (MT) and also by the use of AI.
The Coefficients aim to quantify the amount of work and effort employed by the Vendors. Knowing that we may have several particular cases, we allow you to set your own custom coefficients.
If you wish to learn more about Editing Coefficients, please refer to the following article.
3. Automation Settings
The last topic in this article covers the Automation Settings, which consists in the Auto Task Placement
3.1 Auto Task Placement
The Auto Task Placement feature automates the process of presenting available translation tasks to translators and allowing them to apply for assignments quickly. Its purpose is to enable smooth matches between linguists' skills and the job requirements of agencies.
You can either set your configurations at an Account Level or specify custom configurations for each Org. Unit, granting more levels of customization and granularity.
If you want to learn more about Auto Task Placement, check this article out!
In the same window, you can locate the Rate Filter Settings. This resource helps with the maintenance of the project's budget by balancing the adopted price list with the value charged by the vendor. The value determined for the language pair establishes the maximum percentage that an eligible vendor for this job can charge in relation to the project's or work unit's price list. Additionally, it is important to note that the Rate Filters follows the precedence of organization unit, account, and system.
In the first section, you can set up a Rate Filter for a specified org. unit and a job type (review, translation, transcription). If you want even more customizations, you can scroll down the screen and you'll be able to set up filters for specific language pairs within your org. unit or your account.
You can also set custom Due Date Settings:
In the button (1), you're able to see the Default System Settings regarding due dates. In the panel (2), you are able to set your own Due Date Settings, which will reflect through your account. Finally, you can customize the Due Date Settings for a specific Organizational Unit (3).
