This article will explain the step-by-step process of creating a translation project in Bureau Works.
Requirements
To create a project, we need you to have already set up an/a:

- Create a new project
- Selecting Single or Multiple Projects
- Setup your project
- Uploading the files to be translated
- Personalize
- Define the workflows
- Approve your project
1. Create a new project
From the lateral menu, click on Projects and then on New Project
2. Selecting Single or Multiple Projects
Click on Create Single Project or Create Multiple Projects, depending on your needs.
We will use Single Project in this article as an example. To learn more about Multiple Projects you can access this article.
3. Setup your Project
Bureau Works will infer most of these fields based on your user setup.
However, for each project, you must enter:
- Project reference - to make your life easier locating this project down the road. Highly recommend following your internal naming convention here or any codes you may use to refer to different content types.
- Project notes (optional) - any specific instructions or guidelines you would like to share with those involved with the project.
But you may manually override your:
- Organizational Unit: In case you are part of multiple Organizational Units, select the one where you would like to create the project and move to the next step (this option is designated for companies that have many Units like departments/cost centers that will access the platform and may need to separate costs, billing, and invoices).
- Contact Person: The person who will receive project notifications.
- Source Language: Select the source language of your uploaded files. All your assets should have a single source language.
- Target Language: Choose all the languages you want your files to be translated into. You may assign different targets for different assets in the next step.
- Translation Memory: You may select the Translation Memory you would like to use in this project if you already have one. The Translation Memory is where all your past translation segments/sentences are stored.
- Glossaries: You may select the Glossary you would like to use in this project if you already have one. The Glossary is where your terminology will be stored.
- Prices: It will be automatically selected based on the Price list associated with that Organizational unit.
- Invoice info: Here you can add your purchase order information for future Project’s invoicing.
4. Uploading the files to be translated
Click on Browse to select the files you wish to include as a part of the translation project, or drag and drop them at the designated location.
Wait for the file to load onto the platform. Click on Continue after the load bar turns green.
✅Our platform natively accepts 21 file formats: .csv, .docx, .odt, .txt, .htm, .html, .idml, .json, .php, .po, .pptx, .properties, .srt, .vtt, .strings, .tsv, .xlf, .xliff, .xlsx, .xml and .yaml.
⚠️ Tip: If you are a heavy user put some thought into how you wish to define a project. While Bureau Works gives you the granularity to have different files going into different languages for instance within the same Project, you may want to define a project by files going through the same workflows, languages or any other taxonomy that may help you manage your content flow.
5. Personalize
Bureau Works will batch your files together according to file type and allow you to define granular configurations according to each kind of extension.
In the example below, we are showing the options for an JSON and an DOCX file, but other file types may have different configurable components.

6. Define the workflows
This is the section where you can establish the workflows to be applied for each file within the project.
The platform will automatically deduce the appropriate workflows based on the file type and apply the designated target languages as per your previous configuration. Nevertheless, you retain the flexibility to modify it as necessary. This feature proves valuable in situations where a project possesses a predefined configuration, but specific files require a different target language, as an illustration.
⚠️ Kindly be advised that even if you opt to choose multiple workflows, the initial one must always be the Translation workflow.
7. Approve your project
If the Quote Automation is enabled, the project will be automatically updated to Pending status. If not, you must manually set it to Pending in order to calculate its costs. Subsequently, if applicable, the project can be approved.
Once the project is approved, if the feature is enabled, the pre-translation process will commence. It will utilize your translation memory data and/or populate the segments using machine translation.
